Business Visitor Administrator

The Business Support Team at CEVT provides professional, engaged and agile front office and administrative service to the organization. The group of five currently staffs receptions at three locations. We work in a multicultural, international environment to support CEVT, Lynk and Geely staff and welcome a large number of visitors on a daily basis.

In this role as a Business Visitor Administrator you will provide personal support to our business visitors from China. We need your help to ensure that every visit from our Chinese colleagues to our offices is a positive experience. You are also a member of our front office team who helps staff and visitors with daily inquiries and administrative tasks. Your workdays will be filled with service solutions and your focus will be on helping people.

We are looking for a service-minded, culturally-sensitive, proactive and flexible individual who sees the opportunity in every task, whether it be solving a hardware/software logistics hurdle, liaising with the Swedish host to learn about meeting location so you can help the visitor find his way on Lindholmen or helping to book a table for dinner and a taxi to the restaurant. You are genuinely interested in people and want to use your background in Chinese culture and language to help visitors find their way in our offices on Lindholmen, in Göteborg and in Sweden.

In this role you will be involved in and encouraged to brainstorm around new ways of improving service in the Idea-friendly environment at CEVT. It will therefore be important to be creative. You need to engage individuals at all levels internally and externally, while in a high-paced environment.

Responsibilities and Tasks May Include

• Provide business visa assistance

• Liaise with CEVT meeting host/s to assist in providing advance & onsite assistance to business visitors around scheduled meetings/workshops

• Welcome and onboard business visitors

• Find onsite solutions to inquiries, logistics challenges and administration needs

• Assist with hospitality around off-work activities, including ground transport arrangements

• Develop Chinese information/material about GOT, SE, for our business visitors

• Conference & meeting support as/if requested

• Give general administrative support

• Support Business Support team front office/reception with daily, weekly and monthly operational tasks as needed

Profile and Background

• High school degree

• Previous experience in service, hospitality & administration

• Chinese fluent, English proficiency both spoken and written; Swedish is a merit

• Experience working in an international, multicultural business environment; experience working in/with China is a requirement

• Strong skills in MS office programs

• Strong interpersonal & communication skills

• High integrity, confident & composed

• Attention to detail, accuracy and quality

• Excellent planning & prioritization skills
