About the position
As a Business Coordinator & Office Manager at Fortos you will have a supportive role in the heart of the business. Your responsibilities include proactive ownership of Finance and Project Administration, CEO- and Partner support, Office Management, HR Administration and Communication. You are the interface towards key stakeholders and manage the office, ensuring all duties are completed in an organized and timely manner.

You report to the CEO.

Example of tasks:
Finance and Project Administration
• Managing the complete process within finance and project administration such as the project time reporting system, customer/project order handling, invoicing, account receivables and account payables
• Being the request office including coordination of incoming customer assignment requests
• Creating and maintaining different types of business reports on a regular basis

CEO & Partner Support
• Meeting preparations/ agendas / invitations / presentations / minutes
• Calendar Management / bookings / conferences

Office Management/ HR Administration/ Communication
• Handling personnel related topics such as onboarding of new employees
• Responsible for the office including suppliers, purchasing of office supplies and to secure a professional office environment
• Managing and coordinating the business car pool administration
• Managing and maintaining IT and communication infrastructure including the outsourced service to the IT supplier
• Internal Communication. You are responsible and key user for the intranet
• Depending on skills and background, you could also be responsible for developing the external website and prepare other communication materials.

About you
To be able to succeed in this position we believe you have minimum 5 years ' experience of Finance/Office Administration and Project/Management Support in an international environment. Automotive Industry experience is an advantage. You need to be fluent in spoken and written English and Swedish and have excellent knowledge in Office 365 (especially Excel), it is also preferable if you 're experienced in SharePoint.

Maybe even more important is that you as a person are:
• A good listener with high integrity; able to transmit information accurately. You have a key position and you need to be able to handle highly confidential information.
• Flexible; you enjoy performing a wide range of tasks, responding to changes in direction and priorities, and accepting new challenges and responsibilities. With that said, you also take action in the absence of specific instructions or in the absence of a specific requirement.
• A good attention to detail and a high level of professionalism; you deal directly and forthrightly with people and problems, you are persistent to get the job done.
• Good at planning & organization.
