Do you have an impressive track record as a Senior Administrator, outstanding organisational skills and the ability to multi-task effortlessly? This is an opportunity to take on a challenging and varied role in Early Clinical Development (ECD) as a Senior Administrator to a Global Head (VP). We are looking for someone with high standards, enthusiasm, and a passion for learning, together with excellent communication skills, a proactive approach and the confidence to act independently.

As a Senior Administrator you will report to the Enablement Leader, Strategic Planning and Operations in Early Clinical Development, based in Gothenburg and will be supporting a VP and his senior leaders.

This is a full time position covering a maternity leave, starting at 11 months with the possibility of being extended.

Main duties and responsibilities

Working globally across different time zones, your focus will be on providing high quality and professional administration support to the VP and his senior leaders. You will become an expert user across key business systems and tools and provide a professional point of contact for the organisation. Activities include
Triage of VP mailbox to ensure priorities are managed
Extensive diary management, using MS Outlook
Extensive travel arrangements, both UK and abroad consisting of flights, accommodation, airport transportation, car bookings, trains etc. (preparing travel packs / itineraries)
Receiving, directing and relaying telephone messages in a professional manner
Organising internal/external meetings including room bookings and catering arrangements as required
Co-ordinating global conference calls / video conference calls (i.e. managing the different time zones)
Printing relevant documents in preparation of meetings
Collating and processing of expense claims
Preparing documents using templates, this will also include presentation materials
Organising and distributing incoming / outgoing project correspondence
Preparing agendas, taking minutes and other relevant documentation, as necessary
Filing and scanning project correspondence
General printing, photocopying and binding documents

Essential requirements
Proven experience as a PA to senior management/ department head
Excellent verbal, written and interpersonal skills
A professional, confident, and proactive approach, with the ability to independently manage a diverse and demanding workload
Demonstrated ability to manage priorities in a changing environment
Strong organisational, forward-planning and stakeholder management skills
Demonstrate exceptional attention to detail, working to consistently high standards
Track record of handling and resolving challenges quickly and efficiently, with flexibility to adapt to changing situations
Good business awareness with sensitivity to highly confidential information
Communication and relationship-building skills to develop networks both within the company and external
Assertiveness and strong personal resilience
Strong proficiency with Microsoft Office web-based programmes

Preferred requirements
Experience in an academic or clinical environment
Experience of creating confidential reports and presentations for senior executives
Influencing skills with ability to engage relevant people in developing solutions
Experience of working in a global organisation; with the ability to work across boundaries and different cultures
Champion of efficient and effective processes
