About the position
Perido is looking for an Administrative Officer to our client, an independent and important agency of the European Union. The mission of this agency is to strengthen Europe's defenses against infectious diseases and identify, assess, and communicate current and emerging threats to human health posed by infectious diseases. The position is placed at their office which is nicely located just outside of Stockholm city. After an introduction at the agency's premises the work can proceed mainly from home due to the ongoing Covid-19 pandemic. A step-by-step return to work can be expected in spring.
Your daily tasks
In this position you will support the coordination of software licencing. The tasks include the following:
Ordering of software and updating inventory data related to software
Monitor software license renewal, availability and consumption
Coordinate new software requests in Ivanti Service Desk
Act as the organizations operational and procurement liaison with the external contractors
Establish a list of available software in the organization to be used for monitoring the license renewal and for information among the staff
Support to building awareness of above list within the organization
Produce and update procedures and work instructions
Draft Data Protection Notifications for cloud services
Support the implementation of a new section documentation policy
Other administrative tasks of similar nature

Your qualifications
In order to be successful in this role, you have a high level of responsibility and very good knowledge of the Office Suite. You communicate efficiently in English at all levels internally and externally, in an appropriate manner and you always make sure to offer a high level of service orientation. Quality defines your work, and you are solution driven as well as an active listener. Furthermore, you can work under pressure and have great experience of organizing and prioritizing your work accordingly. We can also see that you are a true team player - with skills in team building and collaboration - even though you also work just as well independently with minimum supervision. Lastly, you know how to handle confidential information with discretion.

Requirements
Education at university level or relevant post-secondary education
Proven professional experience as an administrative and/or project officer, preferably in a multicultural working environment
Excellent skills in managing documentation, preparing correspondence and other documentation
Thorough knowledge of Microsoft Office (Word, Excel, Power Point and Outlook)
Good understanding of software licenses
Good understanding of finance and accounting
Excellent command of English; spoken and written

Meritorious
Technical expertise in the area of prevention and control of communicable disease or related area would be of advantage.

Contract type and hours
Full-time assignment, until end of August 2021. Start as soon as possible.
