Secretary/Administrative Assistant to European Centre for Disease Prevention and Control
Work Description
We are searching for a Secretary for our client, the European Centre for Disease Prevention and Control (ECDC) in Solna.
Task:
The person shall be requested to perform various tasks including:
• Organizing internal and external meetings: scheduling of meetings, preparing agenda, taking minutes, drafting the budget and follow up on chain of approvals
• Arranging business trips and travel claims: preparing orders and liaising with the Mission and Meetings office, arranging travel claims in line with internal procedures
• Administrative support to the Head of Disease Programme: managing calendar, finalising correspondence, monitoring incoming emails to the Programme mailbox, assisting in any ad hoc administrative tasks that arise
• Provide general administrative and secretarial assistance and support the Unit's processes and work flows
• Receive and process incoming calls, mail and documentation
• Respond to queries and request for information with a high level of service, tact, discretion and confidentiality
• Draft and finalise correspondence and other documents, taking notes at meetings
• Perform any other task assigned by the supervisor
You will get an employment as a consultant with Manpower. The assignment is to start as soon as possible until last of May with possible extension up to the total length of 12 months. The role is for full-time.
Competences and experience
• Experience in providing general secretarial support to managers and teams, ideally in multicultural environment
• Excellent communication skills, both oral and written, ability to interact with people of all levels in an organisation with tact, discretion and strong sense of confidentiality
• High level of service attitude; attention to details
• Excellent team working abilities, conflict resolution and problem solving skills, ability to react quickly to unforeseen situations, ability to cope well under pressure
• Excellent communication skills and ability to work independently as well as in a team
• Post-secondary education
• Excellent command of English; oral and written
• Thorough knowledge of Microsoft Office (Word, Excel, Power Point and Outlook)
• Excellent skills in preparing correspondence and other documentation and experience in organizing meetings
• Ability to work under pressure and experience in organizing work and prioritizing accordingly.
