Presentation
Swedish doctors founded Médecins Sans Frontières (MSF) Sweden in 1993. As a partner in the international MSF movement, MSF Sweden exists to assist populations in danger by recruiting medical and non-medical volunteers, by raising funds and by raising awareness and pressuring for change through the act of temoignage, or advocacy. Since its foundation, the Swedish section has grown at an impressive rate. By the end of 2007, MSF Sweden had private donors supporting the organisation with approx 140 million SEK, while the Swedish government through Sida contributed around 65 out of the total 205 million SEK raised that year. MSF Sweden is a respected and visible actor for humanitarian values and action in the Swedish civil society, with a strong presence in media. The office of MSF Sweden consists of 28 full-time staff and 15 to 20 committed volunteers. A board consisting of 11 members represents the association.
MSF Sweden has grown extensively since its establishment in 1993. As a consequence it has become very important to strengthen the Finance and HR Management function of the Office Management department.
The position
• Assist the Office Management department with accounting, payroll (HR) and general admin.
Duties and Responsibilities
Accounting
• Registration of invoices and bookkeeping as directed by the Finance Officer
• Prepare and enter monthly finance follow up figures in the finance follow up document sent to Head of Departments, General Director and Board.
• Prepare and enter monthly finance follow up figures to be sent to OCB (Operational Centre in Brussels) and the International Office
Payroll
• Manage the MSF salary software (HogiaLön+). Prepare and enter salaries for each employee every month and follow up that every employee hands in his/hers time registration.
• Enter hours worked by Office Volunteers into Hogia
• Make sure that Hogia is updated properly with vacation and overtime for each employee
• Prepare and check “kontrolluppgifterâ€? to be sent to the Swedish tax authorities (once per year)
• Fill in necessary HR statistics required by SCB
Admin
• Assist the department with tenders and calculations for cost effectiveness when buying office materials
• Backstop The Receptionist at high workload and step in when the receptionist is absent
• Other duties as directed
Required Skills and Experience
• Degree in Finance and/or Staff Management (minimum Gymnasiekompetens)
• Good organisational skills
• Good IT skills and strong knowledge of Excel
• Swedish fluently written and spoken
• English fluently written and spoken
• Strong oral and written communication skills
• Consistently approaches work with energy and a positive, constructive attitude
• Ability to work under pressure
• Ability to work individually as well as within a team
Desirable Skills and Experience
• Experience from similar job assignments
• Long term commitment
• Prior NGO assignment
• Knowledge of HogiaLön+ software
• Knowledge of Pyramid Business Studio software
• Knowledge of French
