Policy Officer/Administrator (Full-Time)

Policy Officer/Administrator- DEADLINE: 30 November 2020

A Policy Officer/Administrator, with the oversight of a supervisor from among the full-time diplomatic staff, is tasked with policy analysis and reporting on areas of importance to the Embassy. This can include reporting on Swedish policy both domestic and foreign as well as participating in and reporting on briefing sessions hosted by Swedish Ministries and institutions. The role also involves building contacts in Sweden. An officer may be called upon to support other activities undertaken by the small team in the Embassy, including consular services, administration and assisting in the organisation of events, virtual and in person, hosted by Ireland and providing logistical support to visiting high-level delegations.

The Mission now wishes to recruit a Policy Officer/Administrator on an initial one-year contract. In addition to the responsibilities outlined above, the Policy Officer/Administrator will be expected to provide guidance and support to other Embassy colleagues.

Roles and Responsibilities:
The position will include the provision of full policy and administrative support to the Ambassador and Deputy Head of Mission.

The work will include:
* Research and analysis
* Monitoring and reporting on political/economic and other developments in Sweden
* Attendance at meetings, conferences and seminars
* Report writing as required
* Translation and informal interpretation
* General administrative and consular/visa work
* Event and high-level visit management
* Identification of key contacts for the Embassy
* Scheduling of meetings and travel arrangements for officers of the Embassy

Candidate Profile:
While the focus will be on policy work, the role will also include some consular and visa work. Relevant training will be provided to the successful candidate.

The successful candidate will be a highly motivated, enthusiastic individual with a proven capacity to multi-task in a busy and demanding environment. They will have a good knowledge of the Swedish political system and economy, including current Government policy in the relevant areas, and public and private sector structures. They will work effectively as part of a very busy and flexible small Embassy team. The position will also involve undertaking occasional out of hours' duty.

Essential Requirements:
To be eligible, the following qualifications and competences are required:

* A third level qualification and work experience in a relevant area
* Excellent written and oral communication skills in Swedish and English. The candidate should be a native speaker of Swedish or English and have a minimum C1 in the other language. Applicants may be telephoned in advance to establish language proficiency and a short written test in English may be required.
* Very good research and analytical skills.
* Well-developed interpersonal skills.
* A high level of organisational and administrative skills, including proficiency in Microsoft Outlook, Word and Excel.
* A flexible attitude, good judgement and the ability to work effectively as part of a team.
* The ability to work well under pressure while ensuring accuracy and attention to detail.
* A high level of discretion, commitment and reliability.
* The successful candidate must have a legal entitlement to live and work in Sweden prior to recruitment

Terms and Conditions of Employment:
* The position is scheduled to commence in mid-January 2020 and will be for one year fixed term contract. There may be a possibility (not guaranteed) of an extension.
* The successful candidates will be hired on a fixed-term contractual basis and will be based at Embassy of Ireland Stockholm, Hovslagargatan 5, 111 48 Stockholm.
* The position is full-time (40 hours) with occasional attendance outside of hours.
* Out of hours duty service occasionally during the year compensated by additional leave
* The salary for the position is SEK 370,495.00 per annum, paid locally on a monthly basis. Salaries are paid directly to a bank account, therefore the successful candidate must have a bank account. Salaries are payed in gross and it is the responsibility of the employee to administer personal tax affairs.
* The positions will have an annual leave allowance of 25 days per annum, exclusive of public holidays, adjusted pro rata.
* A 6-month probationary period will apply.

Police vetting will be sought in respect of individuals who come under consideration for appointment.
