The External Relations & EU Projects Group at the European Spallation Source (ESS) in Lund, Sweden, invites applications for the position of Visits Coordination Officer.

Description of the group

The External Relations & EU Projects Group is part of the ESS Communications and External Relations Division, which is in charge of strategic and operation activities relating internal and external communications and stakeholder relations. This includes the coordination of visits to the ESS construction site. In 2017 ESS hosted approx. 6.000 external guests on its 75-ha large construction site including business partners, local community representatives and school classes, guest from universities and research centers as well has high-level guests such as ministers and heads of states. The Visits Coordination Officer will report to the Head of External Relations & EU Projects Group.

Description of main responsibilities

The role of the Visits Coordination Officer requires:

• Coordination of all visits to the ESS construction site in collaboration with the ESS construction partner Skanska, this includes:

• Being the interface for all visits activities at ESS
• Recording, analysing and responding to incoming visit requests
• Identification of and coordination with in-house tour guides or presenters from other parts of the organisation
• Implementation of walking tours, bus tours and information visits including documentation for the website and social media
• Keeping up to date on project progress to communicate to visitors
• Collection and analysis of visitors' feedback
• Filing of visitors' information in our customer relationship database

• Development and implementation of outreach activities such as Partner and Industry Days, science and business conferences and meetings
• Development and maintenance of information material such as slides, leaflets, brochures, audio-visual material
• Support of the day-to-day work of the Group

Qualifications

• Proven professional experience (5-7 years) from a similar role in external relations with a track record of successfully implemented outreach activities
• Academic degree in a subject relevant to the portfolio of tasks
• Out-going and inquiring personality, strong networking capabilities
• Flexible, problem solving attitude
• Experience in working with international, cross-functional teams
• Proven project management and organisational skills
• Excellent English, orally and in writing
• Excellent knowledge of the Microsoft Office and Adobe CS

Duration & Location
The position is permanent with six months initial probationary period. Your work place will be situated in Lund, Sweden. The position is to be filled as soon as possible.
