.Secretary to European Centre for Disease Prevention and Control

Work Description
We are searching for a Secretary for our client, the European Centre for Disease Prevention and Control (ECDC) in Solna.

Task:

* Provide general administrative and secretarial assistance and support the Unit 's process and work flows.
* Receive and process incoming calls, mail and documentation.
* Organise and co-ordinate appointments, missions and meetings including logistics, documentation and follow-up
* Respond to queries and request for information with a high level of service attitude, tact, discretion and confidentiality
* Draft and finalise correspondence and other documents taking notes at meetings
* Manage electronic and paper documents (contact lists, mailing, typing, photocopying, scanning, filling and archiving
* Perform any other task assigned by the supervisor
* Provide administrative support to the procurement section
* Administer correspondence and notifications to tenderers and contractors
* Manage electronic and paper documents, scan, file, archive, register contracts in the registration system




You will get an employment as a consultant with Manpower. The assignment is to start as soon as possible and until the end August 2017 with possible extension up to the total length of 12 months. The role is for full-time.

Competences and experience

These specific competences and experience are required for the current assignment:

* Post-secondary education and relevant professional experience
* Proven experience as an administrative assistant/secretary, preferably in a multicultural environment
* Excellent skills in preparing correspondence and other documentation
* Thorough knowledge of Microsoft Office (Word, Excel, Power Point and Outlook)
* Excellent command of English; oral and written
* High level of responsibility and ability to take initiative
* High level of service orientation
* Ability to work under pressure and experience in organizing work and prioritizing accordingly.
* Ability to communicate efficiently at all levels internally/externally and in a appropriate manner
* Excellent ability to work in a team
* High level of discretion and ability to handle confidential matter
* Basic knowledge of procurement/financial workflows is an advantage
* Capacity to communicate clearly and effectively in the English language
* Strong sense of confidentiality
