School Receptionist (maternity cover)

Date: Job start April 2015
Location: British International School of Stockholm ? Ekeby Site, Rinkebyvägen 4, 182 36, Danderyd
Contract type: Maternity Cover
Hours of work: Full Time 8.00 ? 16.30
Holidays: Holidays are based around the school calendar and will be discussed at interview.
Salary: Negotiable, it will be based on qualifications and experience.

We are seeking to employ a School Receptionist for our Ekeby Site to cover a maternity leave period of approximately 12 months. There may be the possibility of it becoming a permanent position at the end of this time.

Main Responsibilities

Regular administration

Liaising with other Office staff, as appropriate.
Helping provide an orderly, friendly and calm environment for parents, staff, children and visitors.
Assisting with all aspects of arrangements for visitors to the School, school outings, etc.
Keeping abreast of future events and organise necessary requirements
Dealing with daily routines; communicating with parents and classroom teachers regarding registration, attendance, absences, illnesses and collection arrangements, prioritising where necessary.
Answering and dealing with all incoming calls; responding promptly and effectively to enquiries.
Opening, sorting and distributing mail.
Meeting and greeting all visitors.
Typing correspondence and emails.
Providing administrative support to various departments, as required.
Ensuring the Reception area is kept clean and tidy at all times.

PA to the Principal

Diary management; ensuring the Principal?s electronic diary is updated and alerting the Principal to any deadlines.
Ensuring the Principal has the correct documentation and information required for meetings.
Following the Principal?s instructions to compile briefs, prepare paperwork for meetings and draft replies to routine correspondence for the Principal.
Prioritising incoming mail (hard copy and electronic).
Managing incoming telephone calls to the Principal.
Attending a weekly meeting with the Principal to discuss the diary, priorities and other relevant matters.
Any other duties within the capacity of the post holder as may be reasonably requested by the Principal from time to time.
Essential requirements for position include:

Previous receptionist experience
A warm, welcoming and helpful nature
Excellent understanding of providing outstanding customer service.
Strong organisational skills.
Accurate typing and administrative skills.
Excellent time keeping.
Fluent spoken and written English.
General IT competency ? including MS Office.

Desirable requirements for position include:

Good spoken Swedish
Experience gained within a school / professional services environment.
