Office Management Assistant

What you would do as our Office Management Assistant
As an Office Management Assistant, your priority is to deliver service to everyone you meet. You will, together with one colleague, be responsible for our reception, switchboard, postal and mail handling. Additionally, support our management with varied administration such as travel, hotel and meeting bookings, sending out information, handling documents and more.
The position is temporary (six months) with the possibility of extension.
The vacancy is located in Landskrona which is only a 10-minute walk from the train station. You will report to the local Executive Assistant.
You would also be:
• Assisting customers (globally) and ensuring correct service contacts for fx xgate-related issues
• Signing agreements and adjusting settings in the switchboard system
• Managing invoices and addressing contract matters with fxTelia
• Ordering office supplies and managing mail and express deliveries
• Switchboard is responsible for all operations in Sweden, including approximately 1,000 connections, necessitating thorough knowledge of the organization and product range
The skills and experience you need
We are looking for someone who:
• is passionate about delivering service with the right mindset
• has strong communication skills
• has the ability to plan, prioritize, and structure work effectively
• is proficient in Microsoft Office
• has previous experience in reception, switchboard, or similar roles preferred
Being an Office Management Assistant means being versatile. You'll handle various tasks like scheduling, organizing meetings, and managing correspondence. Good communication, both written and verbal, is essential for smooth interactions. You'll need to prioritize tasks and work independently when necessary. Proficiency in office software will make your job easier. Experience in office work is great, but we're also looking for someone detail-oriented and proactive. And of course, being open to learning new things is always a plus!
