The role as Office Coordinator is in many ways at the heart of the office, as most co-workers are dependent on the responsibilities that you have. The role entails working with a variety of tasks which in one way or another related to ensuring a top-class, engaging and neat works place and smooth internal administration processes. That requires both that you are well organized, actionable, enthusiastic, and unpretentious.

Responsibilities

More specific responsibilities and/or tasks may be included in a person's employment contract.

Any Administration Specialist should :

• Be familiar with the structure of GlobalLogic Sweden and to have a general overview of the global structure.
• Be able to prepare documents, materials and information necessary for work and his or her tasks completion.
• Perform information search, gathering and processing of documents and information needed to perform his/hers tasks
• Provide required information and reports without delay.
• Process tickets on Jira Help Desk.
• Other duties to ensure the overall health and success of the business.

Associate and Junior Specialist, Administration

In addition to the responsibilities mentioned above ES & IT Junior Specialist must:

Employee Services:

• Support Employee Services department (defined in employee's contract)
• Process shipments and collect sent post (post office, couriers, mails, customs, deliveries)
• Maintain Front-Desk
• Handle Visitors in the office
• Work on any other administrative tasks (scanning, faxing, support to employees, support management).
• Support contact with contractors and other service providers when needed.
• Participate in ordering and invoicing.
• Participate in organizing corporate parties.
• Take care of facilities in the appointed location: maintenance, support in organizing orders of needed equipment.
• Participate in internal meeting when appointed.
• Support the IT Department in basic technical activities.
• Preparing and deploying user workplace equipment.
• Preparing and installing standard IT environment (laptops, peripheral equipment).
• Assisting in the working places hardware movements (commutation).
• Assisting in the installation, configuration of network infrastructure equipment including cabling plants, communications backbone equipment, and telecommunications hardware.

Qualifications

Education

Secondary school or Bachelor's degree.

Knowledge and skills

• Intermediate English level in writing, reading, speaking.
• Skills in using MS Office sufficient to perform required file operations, create and process documents, tables, plan tasks.
• Skills in using office equipment.
• Theoretical knowledge in telephone liaison, meeting visitors, office manager's etiquette.

Personal qualities

• Good communication skills.
• Both teamwork and individual work skills.
• Quick learner.
• Attentive, thorough, reliable, well-organized.
• Conflict management skills.
• Multitasking.
• Work experience
• None though prior experience would be an advantage

Extent: Full time starting with a six month probation period
