The Life&Peace Institute is currently looking for a Grants Assistant to work in our Uppsala office in Sweden.

Primary tasks and responsibilities
• Resource mobilisation: In collaboration with the programme offices and Programme Advisors, support the process of resource mobilisation by:
o Tracking calls for proposal and sharing as appropriate
o Reviewing calls for proposals and developing a proposal development plan with the Technical team
o Provide support by pulling together relevant documents for the call
• Database management:
o Keep the LPI Grants Management Database up to date and periodically share with field offices
o Keep the LPI reporting database updated and alert Technical unit, programmes staff and finance office to upcoming deadlines
o Produce reports for SMT regarding LPI's current and pipeline grants and contracts
o With Programmes unit, ensure LPI information on donor databases is kept up to date, including uploading reports. This includes PADOR, SAMS, HIS etc.
• Filing of contracts and relevant documents - with Finance & Compliance Officer
o Ensure LPI's grant and contracts files are kept up to date with the latest copies of contracts, communications, budgets and other relevant documents
• Contract Review:
o With the Finance and Compliance Officer, support in the review of donor contacts and give input into any critical issues for LPI
o Provide support to inception workshops for any new grants/contracts.
• Work to enhance and improve grants management processes and increase efficiencies.
• Undertaking other tasks as assigned.

Requirements
• Relevant work experience
• Bachelor's degree required
• Skilled user of MS Office (Word, Excel, Outlook, PowerPoint, Access)
• Experienced and comfortable working with numbers and in databases
• Impeccable attention to detail
• Strong document management skills
• Excellent interpersonal skills
• Ability to work well independently and with a team
• Excellent time management skills, aptitude for proper task prioritization, and a results-oriented work process
• Ability to handle sensitive matters with tact and discretion
• Professional demeanour, integrity, tact, and good judgment
• Dependability.
• Excellent English language skills.
