The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, service minded ? without prestige, positive, flexible and enjoy the administrative challenges of supporting an office of diverse people and programs.
You will be responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings. There for it is important that you have the ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure. You will provide support during and after meetings by preparing documents before meetings and by taking notes during meetings. You are responsible for the MOM and other documents required after the meeting. You will assist in reporting, i.e. pipeline / forecast preparation and management. You will also arrange travel schedule and reservations as needed. Therefore it is important that you have good communication skills and are good at planning and organising. You will work closely with the MD on office issues that will inevitably rapidly appear.
To be able to manage this work you need to have a completed Education in Administrative area at College level. A University degree is an advantage. You are impeccable in Swedish and have a Cambridge Certificate in English or equivalent. It is an advantage if you also have documented knowledge in French. You have at least two years of experience supporting at the executive level. You are good at managing calendar and this includes the coordination of complex executive meetings. You have experience of working in a multi-cultural and international environment. You have well documented experience of knowledge in MS Office, including Word, Excel, Power Point and both LN and Outlook. You have experience of scheduling travel arrangements for management, and you have supported product / service, sales and marketing businesses before. You have experience of successfully creating and/or modifying processes.
