About the Department of Foreign Affairs and Trade (DFAT)

The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia's security, enhancing Australia's prosperity, delivering an effective and high quality overseas aid program and helping Australian travellers and Australians overseas.

The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia's pursuit of global, regional and bilateral interests.

About the Australian Embassy in Stockholm
The Australian Embassy in Stockholm is responsible for advancing Australia's bilateral interests with Sweden, Finland, Latvia and Estonia, and for providing Australians resident in or visiting these countries with consular and passport services.


About the position

This is a mixed duties position, which provides general administrative support, undertakes a range of corporate services, including financial duties and managing travel arrangements. In consultation with the Head of Mission, this position also assists with managing the Embassy's corporate reform agenda. The position also provides back-up support to the Consular and Passports Manager, the Office Manager and undertakes other duties as required.

The key responsibilities of the position include, but are not limited to:

Accounts

• Process accounts for payment in SAP

• Prepare routine financial reports and administer VAT returns on a quarterly basis

• Calculate and process staff conditions of service entitlements, including leave fares, education fees and medical claims

• In consultation with London Hub, administer debts advances and create Vendor and Customer accounts as required

• Prepare and maintain records of the HOM and DHOM representational funds expenditure

• Prepare monthly salaries for locally employed staff

• Train staff in use of financial systems, including credit card acquittal system, payment systems and time management systems

Travel

• Arrange domestic and international travel arrangements for all staff at the Australian Embassy, including:

procurement of flights, ground transport and accommodation; and
preparing in accordance with Embassy policy movement requisitions and preparing travel acquittals for processing.
In consultation with the Head of Mission and Office Manager

• Assist with the arrival and departure of diplomatic staff

• Assist with the implementation and the Embassy's Mental Health Strategy and Workplace Diversity Agenda

• Assist with the implementation of DFAT's ongoing corporate reform agenda

Backup roles and responsibilities

This position will provide back-up support during periods of absence to the Consular and Passports Manager and the Office Manager. It will also provide surge support to these positons as required.

Qualifications/Experience

Essential

• Ability to work under pressure and meet deadlines.

• Proven organisational skills and ability to work:

• both independently and as a team member; and

• to handle multiple tasks and prioritise effectively.

• Proven capacity to adapt to and implement change, demonstrating innovative approaches, courage and resilience

• Experience in financial processing

• Proficiency in SAP preferred or other financial accounting systems and Microsoft Office software applications

• Sound written and oral communication skills

• High level of initiative and ability to work independently within a small team

• Excellent Swedish and English language skills

Selection Criteria

A. Highly proficient numerical skills and proven ability to perform financial accounting activities, including processing accounts payable and routine financial reporting.

B. Well-developed planning and organisational skills, with the ability to manage multiple tasks and competing priorities in a client-focused environment.

C. Proficiency with SAP (or other financial accounting system), Microsoft Outlook, Word and Excel. High level of IT literacy with ability to manage an electronic documents and records management system, ensuring on-going compliance with policy guidelines;

D. Ability to liaise effectively with a wide range of stakeholders within a small busy team environment, demonstrating initiative, adaptability, and the ability to work independently with limited supervision.

E. Demonstrated your ability to communicate effectively, both oral and written skills.
