About the Australian Government's Department of Foreign Affairs and Trade (DFAT)

The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia's security, enhancing Australia's prosperity, delivering an effective and high quality overseas aid program and helping Australian travellers and Australians overseas.

The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia's pursuit of global, regional and bilateral interests.

About the Australian Embassy in Stockholm

The Australian embassy in Stockholm is responsible for advancing Australia's bilateral interests with Sweden, Finland, Latvia and Estonia and for providing Australians resident in or visiting these countries with consular and passport services.

About the position

This is a mixed duties position, which provides general administrative support and undertakes a range of financial and property management duties within the Australian Embassy in Stockholm. The position also provides back-up support to the Office Manager and passport and consular officer, and undertakes public diplomacy and research duties as required.

The key responsibilities of the position include, but are not limited to:

• Process accounts for payment in SAP
• Prepare routine financial reports, administer VAT returns on a quarterly basis, and reconcile and process official credit card transactions
• Calculate and process staff conditions of service entitlements as required
• In consultation with the Third/Second Secretary, assist with the annual public diplomacy strategy and program of events for the Embassy
• Assist with maintaining the Embassy's web page and Facebook page and explore opportunities to develop the Embassy's online and social-media presence
• Assist with research for reports on international and domestic issues relevant to Australia's interest in Sweden, Finland, Latvia and Estonia
• Perform notarial services as required
• Undertake Workplace Health and Safety (WHS) risk assessment activities and make recommendations for compliance with regulations
• In consultation with the SAO, undertake property management duties for the Chancery and official residences, including property searches, building maintenance and liaison with the global property management company on owned property estate issues
• Coordinate procurement and manage asset stocktakes for the Embassy when required
• Undertake file creation and sentencing processes
• Provide back-up support to the Office Manager as required
• Provide back-up support to the Passports and Consular Officer as required

Qualifications/Experience

Essential

• Experience in financial processing
• Proficiency in SAP preferred or other financial accounting systems and Microsoft Office software applications
• Ability to negotiate and achieve favourable outcomes
• Sound written and oral communication skills
• Ability to prioritise and meet tight deadlines
• High level of initiative and ability to work independently within a small team
• Possession of a valid driver's licence
• Excellent Swedish language skills - Successful applicants must demonstrate the ability to translate and interpret between English and Swedish by completing an oral and written assessment.

Desirable

• Finnish Language skills
• Interest in International Affairs/Foreign Policy
• Interest in social media and event management

SELECTION CRITERIA

A. Highly proficient numerical skills and proven ability to perform financial accounting activities, including processing accounts payable and routine financial reporting.

B. Well-developed planning and organisational skills, with the ability to manage multiple tasks and competing priorities in a client-focused environment.

C. Proficiency with SAP (or other financial accounting system), Microsoft Outlook, Word and Excel. High level of IT literacy with ability to manage an electronic documents and records management system, ensuring on-going compliance with policy guidelines;

D. Ability to undertake research, using appropriate resources, and present findings to senior management in a timely, accurate and well written report.


E. Ability to liaise effectively with a wide range of stakeholders within a small busy team environment, demonstrating initiative, adaptability, and the ability to work independently with limited supervision.
